Outbound Machine — Operator Guide

What it is: Control panel for the B2B outbound pipeline (easychain + B-Web3).
Who logs in: @kode.zone accounts (Hugo, Barbara, Jonathan). Get your password from Hugo on a private channel — not in public chats or GitHub issues.
1. What this is (1 minute)
Not a classic CRM and not a bulk mail blaster.
It is a signal-first outbound pipeline:
- Find companies (harvest).
- Research them from public data — website, resale listings, reviews, news, contacts. That step is Enrich (Claude + web search/fetch).
- Score fit, pain evidence, and timing → quality TOP / HIGH / MEDIUM / LOW.
- You review, assign, fill gaps, and send email by hand from the warmed outreach mailbox.
- Log outcomes in the panel (contacted → replied → meeting) so the funnel stays accurate.
The email should open with their situation and numbers (e.g. tickets on StubHub, review volume with no loyalty program), always backed by evidence URLs.
Hard rules:
- Numbers in email = real findings only, with evidence. Never invent markup or € leaked.
- Role-based corporate emails only (GDPR / LOPDGDD). Opt-out line on every message.
- Cap: 10 TOP (A) approvals per week. Quality over volume.
- Never send from kode.zone or primary product domains — warmed outreach domains only.

2. Sign in
- Open https://outbound.bogowi.com/
- Log in with email (
name@kode.zoneor local part, e.g.barbara). - Sign out when done (top right).
If login fails: private window or hard refresh. If it still fails, contact whoever runs the server.

Something broken: Feedback → opens a GitHub issue.

4. Typical weekly flow
A) Add companies (harvest)
- Territories: country → cities → harvest (Places, vertical L).
- Or technical import (
harvest:file/ manual picks). - Result: leads in harvested (not deeply researched yet).
B) Enrich
- On harvested: Enrich this (one) or enrich batch (confirm: costs tokens).
- The agent reads the web and fills pain fields, people, triggers.
- Then run score for TOP/HIGH/… badges.
C) Score
- score → fit / pain / timing and quality badge.
- Very weak LOW leads may auto-disqualify.
D) Review
- Stage enriched.
- Filter TOP (then HIGH if needed).
- Open dossier: you are here → do this, evidence, contacts.
- Approve or Reject (
a/ron enriched).
- Approve = qualifies for outreach, does not send.
- Weekly cap on TOP (A) approvals.
E) Prepare and send email
- Stage approved.
- Check email preview and gaps / missing for send.
- Close gaps: manual fields (event, markup, leak €, audit URL…), verified contact email, brand legal / sending domain if blocking send.
- Copy subject + body.
- Send from the warmed outreach mailbox for that vertical.
- In the panel: Mark as contacted.
F) Replies and close
- sync gmail (if configured): detect sent/replies on the outreach mailbox.
- Or manual: Replied → Meeting booked (Jonathan / Calendly).
- No reply: Close without reply (with reason).
5. Owner
- First real action on an unassigned lead (enrich, approve, edit, status change…) auto-assigns to you.
- Anyone can change Owner in the dossier dropdown (or clear it).
- History logs who did what and assignment changes.
Filters: mine / unassigned / by person.
6. How to prioritise
- TOP first.
- Then HIGH.
- MEDIUM only if capacity.
- Bad reply rates → fix the hook, do not add mailboxes.

7. Do not
- Quote numbers without evidence URLs in the dossier.
- Invent markup / € to scalpers without a real face-value price.
- Store personal social data (professional only).
- Approve junk just to fill the TOP weekly cap.
- Put passwords or junk in the panel.
